Internal Search: Senior Staff Assistant / Assistant to the Vice President

Internal applications are being accepted for the following position on campus. This is an internal job posting open to employees of Buffalo State University who are currently paid from any state-appropriated-funds payroll.

Title: Senior Staff Assistant / Assistant to the Vice President
Department: Enrollment Management, VP Office
Salary: $55,000
Negotiating Unit: UUP

Brief Job Description
This position is responsible for providing high-level support to facilitate the efficient operation of the Enrollment Management division. The incumbent will provide a broad range of administrative support to the vice president for enrollment management and other members of the campus community. The incumbent must use good judgment in prioritizing multiple tasks and assignments; be able to interact with senior leadership on behalf of the vice president, using tact and diplomacy to respond to situations; establish procedures to meet priorities while maintaining an efficient workflow; and respond to calls, as well as organize, expedite, and follow up on projects.

Essential Responsibilities
20% Develop a system for monitoring and managing departmental budgets and provide periodic ad hoc reports. Assist with planning and preparation of departmental budget requests, designation of accounts, tracking of expenditures, and reconciliation

10% Lead data processing operations and develop systems that meet the needs of a variety of processes, including systems for reviewing, processing, and filing of personnel documents and correspondence. Develop a system of support for monitoring, tracking, and compliance of enrollment activities as it relates to NYS, SUNY, and Buffalo State University policies.

25% Manage personnel forms for the Enrollment Management division, including but not limited to performance programs, annual evaluations, position requests, and employee change forms. Review appointment recommendations and personnel transactions prior to consideration of the vice president and ensure compliance with university and union policies. Assist with employee recruitment functions for the division including serving on searches.

20% Assist the vice president and other staff members within the division in organizing and planning annual and special events to support professional development and engagement of divisional staff.

15% Provide professional administrative support including scheduling meetings, using electronic calendar system to manage and coordinate schedules, directing phone call inquiries, responding to inquiries as appropriate, coordinating travel, and processing appropriate documentation per the requirements of the university.

10% Draft, edit, and distribute documents, manuals, and publications related to supporting divisional leadership, including but not limited to divisional communication messages, newsletters, agendas, and reports.

Skills and Abilities

  • Excellent verbal and written communication skills. Excellent interpersonal skills.
  • Ability to maintain confidential information. Excellent organizational skills and attention to detail. Strong analytical and problem-solving skills.
  • Proficiency with Microsoft Office Suite or related software.

Free One-on-One Literacy Tutoring for Children in Grades 1-12: Spring Semester

The Buffalo State Literacy Center is offering free one-on-one literacy tutoring for children in grades 1–12 during the spring 2024 semester. There will be online assessment sessions, followed by instructional sessions at the Literacy Center on campus (Bacon Hall 227), and a parent conference. The teachers are all New York State certified and are working on their master's degrees in the Buffalo State graduate literacy specialist program. There is availability in the Tuesday or Wednesday sessions (5:00–6:00 p.m.). Please contact Keli Garas-York, professor of elementary education, literacy, and educational leadership, if you are interested.

2023 SEFA Campaign: 'Why We Give' Segment

“I give during the SEFA Campaign because you never know when you might be the receiver rather than the giver. When my daughter was born, she had to be in a hospital in Rochester for 54 days. My family, including my 11-year-old son, had to pick up everything and temporarily move to the area. The Ronald McDonald House was there to welcome me and my family. We had all the services of being at our own home. They had a shuttle to and from the hospital. They fed us three meals a day; we had laundry, a bedroom, and a bathroom. No payment was required to stay there unless you could. They only asked us to do some chores and keep the space clean. It truly was a blessing to have them help us during a very difficult time. Without the generous donations from others, they would not be able to provide the comfort of a home away from home, support, and resources for families. Giving to them through the United Way is my way of thanking them for all they did for me and for all they continue to do to help others who find themselves in the same situation.”
