Buffalo State Travel Voucher Update

The Buffalo State University Travel Voucher form (MS-XLSX, 34 KB) has been updated to reflect current requirements of the Office of the New York State Comptroller. The new form can be found on the Travel Services website. Effective immediately, this form will be the only travel voucher accepted for reimbursement of travel costs for employee travel.

A new form titled Over-the-Max (PDF, 430 KB) has been made available as well in order to comply with New York State travel regulations. This form is to be used when a traveler is requesting reimbursement for accommodations over the per-diem hotel rate for an area, for example, when booking a hotel that is affiliated with a conference that is above the U.S. General Services Administration (GSA) per-diem rate for lodging.

Buffalo State Bookstore Purchasing Procedure Update

Effective immediately, Procurement Cards (P-Cards) will replace the pink requisition process for all departmental purchases made at the Barnes & Noble at Buffalo State Bookstore. Procurement will no longer accept pink requisitions for Barnes & Noble purchases.

Before making a purchase, cardholders should confirm that the state default account linked to the designated P-Card has available funding.

Books, e-books, and office supplies that are not available on New York State Office of General Services (OGS) contracts or through a preferred source are a few examples of authorized purchases available at the bookstore with a P-Card. A full list of authorized and unauthorized expenditures can be found in the Buffalo State Procurement Card Guidelines (DOC, 1.8 MB).

Cardholders may contact Bonnie Heim, director of non-contract procurement and corporate card administrator, with questions or concerns.

Chartwells Summer Barbecue: $7 Fridays

CCE Community Partner Meetings: August 10, 11

To date, 50 community partners have RSVP’d to attend one of two upcoming community partner meetings hosted by the Civic and Community Engagement Office. The virtual meeting will take place Thursday, August 10, at 10:00 a.m., and the in-person meeting will take place Friday, August 11, at 1:00 p.m. in the Burchfield Penney Art Center. The Burchfield Penney team is kindly providing free museum tours for our partners before and after the August 11 meeting. 

If you are interested in meeting directly with our community partners to talk about community-engaged partnerships for your fall 2023 courses (or later), RSVP for the upcoming virtual community partner meeting using the online form. Please note: the in-person meeting is at capacity.

New Accommodation Process for Student Accessibility Services

As previously announced, the Student Accessibility Services Office (SAS) will implement a new disability accommodation management system, Accommodate, for students and faculty members beginning with the fall 2023 semester. All student accommodation requests and notifications to faculty members will take place through the new system.

Accommodate is designed specifically for SAS offices that feature portals for students, faculty, and staff members to engage in the management of all accommodation-related information and processes. The system will create an improved and simplified process for efficiently managing the processes of providing support services for students. 

Accommodate will reduce email exchanges and provide access to student information and records at any time.

Students

  • Students registered to receive accommodations with SAS will submit a semester request each semester.
  • SAS staff members will review and approve semester requests.
  • New accommodation requests will be made through the “public form.”
  • Students will receive an unofficial copy of their approved accommodations.
  • Students will make testing center appointments through Accommodate.

Faculty

  • Approved semester requests will generate an email for faculty members to log in to Accommodate and acknowledge receipt of the letter.
  • Faculty members can access the Accommodate portal at any time to
    -- view the accommodation notifications and list of students receiving accommodations in their course(s);
    -- upload new exams in their course(s);
    -- provide the date/time/range when students are allowed to take the exam at SAS; and
    -- view completed exams in the portal.
  • No more emails!

Great Lakes Center Open House: September 7

We will present our 2022–2023 annual report and give updates on our Great Lakes environmental science graduate program and on current and future projects. All are welcome. New FedEx Contract

The New York State contract with United Parcel Service (UPS) has expired, and the discounted rates are no longer available. A new statewide contract, PS69557, is now in effect with FedEx. Departments can request a departmental account by completing the account setup form and forwarding it to govtsupport@fedex.com. Multiple users can be tied to the same departmental FedEx account.

Information on how to create shipping labels, schedule pickups, track shipments, and order FedEx shipping supplies can be found on the FedEx website. Shipping supplies are complimentary and include such items as envelopes, paks, boxes and tubs, airbills or waybills (including pre-printed), pouches, and labels.

The FedEx Service Guide (PDF, 415 KB) provides a list of all services with helpful links to websites with additional guidance and instructions.

As a reminder, in accordance with the Office of the State Comptroller, Accounts Payable Advisory No. 47, all agencies are required to use Procurement Cards (P-Cards) to purchase goods and services less than $500 when a vendor accepts the P-Card for payment. FedEx will accept the P-Card for payment.

Student Leadership and Engagement (SLE) is excited to announce that the reservation system for the Campbell Student Union has transitioned to the campuswide 25 Live reservation system. This transition brings enhanced features and streamlined processes to improve your experience in reserving spaces and tables within the Student Union.

We want to assure you that all existing reservations have been successfully moved over to the new system and remain in place. If you have a current reservation, there is no need to take any action or make any changes.

To reserve a space or table in the Campbell Student Union, please visit the SLE website and complete the space reservation request form. Kindly note that submitting a request does not guarantee a reservation. Our dedicated Student Leadership and Engagement team will respond to your request within 48 business hours. Remember, all reservations must be made through the reservation system to ensure accuracy and proper handling.

For events in the Social Hall or Assembly Hall, please be aware that an event planning meeting is required. After submitting your reservation request, you will receive an “event pending” notification from the system. This means your event has been successfully entered into the system, and you will receive final confirmation once the event planning meeting has taken place.

We look forward to hosting you in the Campbell Student Union and providing you with a welcoming and dynamic space for your activities and events. If you have questions or need assistance, please email studentunion@buffalostate.edu.
