Use of P-Card for Orders with Dupli: Effective Immediately

Posted:

As previously announced, in accordance with Accounts Payable Advisory No. 47, all agencies are required to use Procurement Cards to purchase goods and services less than $500 when a vendor accepts the P-Card for payment.

As such, with few exceptions, business cards, letterhead, and envelopes are ordered through Dupli online using the templates provided on the site. The Dupli site has been updated to accept campus P-Cards at checkout. Orders must be submitted online, and campus users simply check out online by inputting their P-Card information. In doing so, campus users are encouraged to make all necessary edits before completing checkout.

Campus users who do not have a P-Card would continue to submit their orders through the Dupli portal. In doing so, campus users would review and save the order, and then send a requisition with the resulting order number and details that is provided via email to users from Dupli.

This efficiency will allow campus users both to comply with Advisory 47 and to obtain their items more quickly.

Please contact Procurement Services with any questions or concerns.

Bengal Success Portal: Fall 2023 Student Progress Survey

Posted:

The Student Progress Survey will be deployed via the Bengal Success Portal twice during the semester. The first survey will be deployed during the first three weeks of the semester, starting Sunday, September 17, and closing Friday, October 6, at 11:00 p.m. The second survey will be deployed before midterms and ahead of the course withdrawal deadline, starting Monday, October 23, and closing Monday, October 30, at 11:00 p.m. Each survey will be accompanied by specific kudos, flags, and referrals that are relevant at that particular point in the semester.

Raising kudos, flags, and referrals is the first step in alerting other campus members of the status of students, enabling professional staff members to follow up with students and close the loop of communication with faculty; however, before raising any flag, please make every attempt to communicate and resolve an issue with a student. If your attempt is unsuccessful, please proceed with raising flags in the Bengal Success Portal so the appropriate staff member can provide support.

It is expected that all faculty members (full time and adjunct) will raise kudos, flags, or referrals for each course survey, acknowledging where students stand in their respective courses so support staff can proactively reach out and respond to student needs and concerns. If no kudos, flags, or referrals are raised for your course(s), please simply open your course survey and click the submit button to mark your course survey(s) complete.

A video on how to complete the Student Progress Survey for courses is available online. Please email Bob Hudson, coordinator of advisement student systems and senior academic advisor, with questions about completing course surveys or raising kudos, flags, and referrals.

Thank you all for caring about the success of our students. It is essential that we continue to work collaboratively as a campus community, making every effort to increase students’ academic achievement, persistence, retention, and graduation rates.

Office Supplies State Contract Available in Bengal Buy: Effective Immediately

Posted:

A new state contract for office supplies has been awarded by the Office of the New York State Comptroller (OSC) for all state agencies. Contract CC04096 with W. B. Mason Inc. was approved by OSC on Friday, August 18. W. B. Mason will provide SUNY with office supplies, as a contract vehicle to replace the expired Office of General Services (OGS) contract.

The agreement is in effect until February 28, 2025.

All departments that have been onboarded to Bengal Buy (Jaggaer) are required to place office supply orders through Bengal Buy via the W. B. Mason catalog. W. B. Mason has thousands of office supply options to choose from and will provide desktop delivery.

Please note, only office supplies should be purchased from the W.B. Mason catalog. Other items, such as IT supplies and personal products, are not to be purchased, and will not be approved by Procurement.

Users are encouraged to follow the Bengal Buy training to ensure that they accurately set their default ship-to address, to ensure that their orders are delivered to their exact campus location. As a reminder, Bengal Buy training can be found on the Procurement website, as well as within Bengal Buy.

Departments that have not yet been onboarded to Bengal Buy (Jaggaer) will see no change to their current ordering process through Staples/Proftec. When a department is onboarded to Bengal Buy, it will subsequently be required to order office supplies through the W. B. Mason catalog.

The current Bengal Buy onboarding schedule commenced in August, and departments are being onboarded each month. Full campus rollout will conclude in December 2023; at that time, all campus departments will use Bengal Buy.

Please contact Kristy Mediak, senior director of procurement services, with questions or concerns.
