At its March 14, 2014, meeting, the College Senate voted to approve a resolution to revise the policy on active military duty to bring the policy into alignment with federal and state regulations in the most student-friendly way possible and to forward the resolution to the interim president for consideration and action:

LEAVE OF ABSENCE
Students will present a copy of their military orders to the Registrar’s Office, Moot Hall 210. They will be given verbal approval for a two-year Leave of Absence (undergraduate) with a waiver of the 2.00 GPA, chair and dean signature requirements, and deadline, if necessary. Copies will be sent to the student, department, and dean after processing. The leave will be effective the first day of class, generating a 100 percent refund.
TUITION REFUNDS
Registrar’s Office will inform Student Accounts and Financial Aid; Student Accounts will issue refunds within 10 days, if applicable.
INCOMPLETE GRADES
Deadline for completion of incomplete grades is automatically extended by director of academic standards in consultation with the course instructor and/or department chair; every consideration will be given should other problems arise.
BOOKS
Barnes & Noble at Buffalo State Bookstore will give a full refund for books in original condition. For books not in original condition, maximum allowable refunds will be given based on the condition of the book. Processing will be expedited. Requirement to show a receipt with each returned book will be waived when a copy of orders to active duty is provided.
MEAL PLAN
Student will go to Bengal Card Office in Butler Library 108. When a copy of orders to active duty is provided, appropriate adjustments will be made based on individual circumstances. Dining Services will inform Student Accounts.
RESIDENCE HALLS
Residence Hall residents will inform Residence Life (complete a Termination of Housing form); Residence Life will inform Student Accounts; refund will be prorated to day of departure.
GRADUATE STUDENTS
Graduate students are not given leaves but will be dropped from all courses, generating a 100 percent refund. The Registrar’s Office will notify the Graduate School Office and the appropriate dean’s office.
VETERANS BENEFITS ADMINISTRATION
If a student is receiving VA benefits, the student will provide a copy of orders to active duty to the Veteran and Military Services Office (VMSO) of Continuing and Professional Studies. VMSO will send a change of status to the VA Education Office. How the student’s benefits will be affected will be determined by the VA. For specifics, each student will contact the VA by phone at (888) 442-4551.
LIST OF STUDENTS
A list of students involved will be maintained by the Registrar’s Office.
I hereby accept the recommendation of the College Senate and charge the provost and the vice president for student affairs with the responsibility for implementing this policy change, effective immediately, and for ensuring that this new information is distributed to the appropriate individuals and departments. I further charge the provost with the responsibility for ensuring that this information is communicated and published broadly and widely across campus.
