PeopleAdmin (Applicant Tracking System): What’s New and Exciting?

We are pleased to announce that the college recently began using PeopleAdmin’s upgraded applicant tracking system. The navigation in the upgraded system is different, but the search process remains the same. The upgraded system includes some valuable features to enhance the applicant and internal user experience:

  • The system has a mobile-friendly design for applicants and internal users.
  • Applicants may apply via resume parsing, LinkedIn, or Chronicle Vitae.
  • The system offers unique posting forms and workflows specific to each of the four position types: classified, faculty/professional, graduate assistant, and part-time faculty.
  • The system includes a new process for classified recruitment.
  • Multiple hiring proposals (aka appointment forms) may be initiated from one posting, including the part-time faculty pool postings.
  • Background-check requirement is included in workflows.
  • The system is able to configure automated reference letter requests on a posting-by-posting basis when applicants reach a specified status.
  • Search committee members can access the system via their Buffalo State NT username and password instead of guest username and password. An automatic e-mail is sent to the search chair and search committee members to access posting.
  • The search committee can search and narrow applicants according to answers to any supplemental questions.
  • Optional evaluative criteria assessments by search chair and committee members are available. 
  • Action links appear at the top navigation bar instead of the side page.
  • Action bars (orange) allow users to take action on postings, applicants, and hiring proposals (a.k.a. appointment forms).
  • The system features an inbox, watch list, and search tools.
  • Error and user messages appear at the very top of the screen.
  • Spell check, online help resources, and Internet browser back button are fully functional.
  • Applicants receive e-mail confirmation of application submission in addition to screen notice.
  • The system now includes Applicant Interest Cards that permit applicants to subscribe to receive e-mails from the system when a job is posted in the category they selected.

For a brief time, job postings will appear on the new and previous applicant sites. Departments that have active searches in the previous system will be able to continue with and complete their searches there. Departments with approval to fill a faculty, professional, or graduate assistant position will create their job postings in the upgraded system.

Human Resource Management has developed several guides and resources to support applicants and internal users and will continue its practice of providing targeted one-on-one technical training to internal users and technical support to applicants.

Classified Vacancies
The classified recruitment process will migrate to the applicant tracking system. Human Resource Management will work with department heads and offer training to classified employees on how to apply for a job via the applicant tracking system. Bid forms will no longer be accepted.
