Mail Room Procedures: Metered Mail and Intracampus Mail

Below are the procedures for the campus Mail Room:

Metered Mail

  1. Include a department or individual name in the return address on an envelope or package. Without it, mail will be returned.
  2. For mail that needs postage, include a completed blue meter slip with department account number, department name, and signature. If special handling is required (e.g., UPS, Express, Priority, Certified), please indicate this on the meter slip.
  3. Seal all manila envelopes and overstuffed envelopes before sending them to the Mail Room.
  4. Overlap the flaps of all business-size envelopes. Please make sure they are all facing the same direction.
  5. Separate international mail from domestic mail. This includes Canadian mail (the postage is different). Indicate that the mail is international on the meter slip.
  6. If enclosed mail includes a staple or paper clip, please make sure it is not in the upper-right corner, where the meter will affix postage; otherwise it will damage the meter machine.
  7. Do not mix stamped envelopes or interoffice mail with mail to be metered.
  8. Please make sure the blue meter slip is attached to the mail with either a paper clip or a rubber band. Do not staple.
  9. Cover all nonprofit organization permits on letters and manila envelopes with a blank label before they arrive at the Mail Room. These envelopes cannot be processed in the meter machine unless permits are covered. This type of mail will be returned if not corrected.
  10. Please notify the Mail Room before any large mailing so that we can bring a cart to your location. This makes it much easier for the drivers.

Intracampus Mail

  1. Please use only brown interoffice envelopes. Large envelopes must be tied, and small envelopes must have the flaps folded in.
  2. Do not mix empty envelopes and interoffice mail in the same bin.
  3. Bundle all large mailings by building and department.
  4. Please print clearly. All information on any envelope must be clearly printed and legible.
  5. Include name and department where mail is to be delivered.
  6. Do not attempt to send intracampus mail via metering (postage is not required for intracampus mail).
