Posted: Monday, July 11, 2011Mail Room Procedures: Metered Mail and Campus Mail
Please follow the procedures below for using the Campus Mail Room.
Metered Mail
1. Include department or individual name in return address on envelope/package. If not done, mail will be returned.
2. For mail that needs postage: Include a completed (blue) meter slip with department account number, department name, and signature. If special handling is required, please indicate this on the meter slip (i.e., e: UPS, express, priority, certified).
3. All manila envelopes and over-stuffed envelopes must be sealed before sending to the Mail Room.
4. Business-size envelopes must have the flaps overlapped. Please make sure they are facing in the same direction.
5. Separate domestic mail from international mail, which includes Canadian mail (the postage is different). Note that the mail is international on the meter slip.
6. If enclosed mail includes a staple or paperclip, please make sure it is not in the upper right corner where the meter will affix postage. Otherwise, the staple or paperclip may damage the meter machine.
7. Do not mix pre-stamped envelopes or interoffice mail with mail to be metered.
8. Please make sure the blue meter slip is attached to the mail, either with a paperclip or a rubber band. Do not staple.
9. All non-profit organization permits on letters or manila envelopes must be covered over with a blank label before it arrives at the Mailroom. These cannot be processed in the meter machine unless covered. This type of mail will be returned if not corrected.
10. Please inform the Mail Room prior to any large mailing. Then we can bring a cart to your location. This makes it much easier for the drivers.
Campus Mail
1. Please only use brown interoffice envelopes. Large envelopes need to be tied and small envelopes need to have the flap folded in.
2. Do NOT mix empty envelopes with interoffice mail in the same bin.
3. Large mailing must be bundled by building and department.
4. All information on any envelope MUST be clearly printed and legible.
5. Please include name and department where mail is to be delivered.
6. Do not attempt to send campus mail via metering; it is a waste of money. Postage is not required for campus mail.
