Internal applications are being accepted for a temporary administrative assistant 2 position on campus. This is an internal job posting open to employees of SUNY Buffalo State who are currently paid from any state-appropriated-funds payroll.
Applicants may be given a discretionary hold from their permanent budget title for this temporary position.

Administrative assistants ensure the efficient operation of an office by performing a wide range of administrative tasks related to correspondence, files, and calendar management; work coordination; customer service; fielding of questions; information gathering; and compilation of reports. They establish office procedures; design filing systems; implement policies and procedures; maintain efficient work flow; resolve day-to-day operational problems; respond to phone calls; sort paper and electronic mail; organize, expedite, and follow up on projects; and coordinate information flow by acting as a liaison among executives, staff, other employees, and the public.
Duties will include but are not limited to the following:
Support the day-to-day operations, assignments, and communications in the President’s Office.
- Will be responsible for receiving and screening incoming calls, visitors, and emails for the chief of staff and SUNY associates. Will maintain the chief of staff’s calendar and schedule appointments.
- Will interview, hire, train, and supervise all student assistants and graduate students within the office. Will assist the chief of staff with the preparation and planning for the President’s Office meetings with a variety of external constituents.
- Will be responsible for planning, implementing, and coordinating various acknowledgment initiatives including preparing and designing correspondence; managing schedules; arranging space, equipment, and refreshments; and answering calls and emails.
- Will prepare departmental follow-up materials, minutes, and correspondence.
- Will coordinate and assist with preparation of annual academic and administrative calendars for the university.
- Will assist with annual appointments of presidential committees by updating rosters, proposing language for campuswide announcements, preparing letters, and providing administrative support to the committees.
